The Project Assistant is part of a results-oriented team and is responsible for assisting staff and projects of the intergenerational program, policy, and National Center on Grandfamilies teams at Generations United. Primary responsibilities include assisting with communications between and scheduling meetings with advisory groups, learning networks, committees, and other partners. This position is responsible for notetaking, backend meeting facilitation, and contact management. Other responsibilities include compiling research, data, and resources; supporting the creation of written resources and other materials; maintaining web pages; assisting with technical assistance and other requests for information; and helping Generations United’s biennial conference and other organization-wide events.
Essential Functions, Duties, and Responsibilities include the following:
- Support communication between and schedule meetings with advisory groups, learning networks, committees, and other partners.
- Provide administrative and backend technical support for convenings and other meetings/webinars.
- Maintain contact lists and databases and track participation and involvement.
- Support the creation and distribution of meeting agendas and related documents.
- Take, edit, and distribute meeting notes.
- Compile research, data, and resources.
- Assist with creating written resources and other materials.
- Assist with making travel arrangements and processing reimbursement payments.
- Assist with revising and posting information to websites.
- Assist with mailing reports and other materials.
- Actively apply a diversity, equity, and inclusion (DEI) lens to all aspects of the work including through the use of the Racial Equity Impact Analysis process and ensure accessibility for those who have limited English proficiency and those who have disabilities.
- Other Responsibilities:
- Proactively monitor media and make suggestions for social media, weekly Generations This Week newsletter, and other external communications.
- Assist with Generations United conference, other organization-wide events, and activities.
- Other duties as assigned.
Knowledge, Skills, and Abilities:

- Minimum Bachelor’s degree in related field preferred.
- One year of relevant work or internship experience is strongly preferred.
- Interest in intergenerational issues impacting children, youth, older adults, and grandfamilies, including DEI, with experience in those issues preferred.
- High level of motivation and initiative.
- Strong people skills and ability to work effectively under pressure in both a team setting and individually.
- Flexible, resourceful, attentive to detail and highly organized with ability to multi-task.
- Strong computer skills, including the ability to effectively use Microsoft Office business applications (e.g., Microsoft Outlook, Excel, Teams, PowerPoint, and SharePoint), virtual collaboration platforms, and other technical software sufficient to meet the needs of their specific position with the ability to learn new emerging technologies as necessary.
- Ability to effectively use a variety of virtual video-conferencing platforms, including but not limited to MS Teams, Zoom, etc.
- Excellent organization, communication, and customer service skills.
- Strong professional ethics and commitment to DEI.

- Ability to work independently in fast-paced office environment, some flexible hours and travel may be required.
- Ability to work in the Washington, DC headquarters office is strongly preferred – the office is currently open with hybrid and remote work flexibility.

Status: 100% FTE
Reports To: Deputy Executive Director
Salary: $45,000 – $48,000 annually based on experience, with excellent benefits
